During the free beta, The Biologist’s Sphere is operated on a personal basis by Mathieu Holmiere, who acts as data controller for the platform’s own processing. Privacy questions and requests can be sent to contact@thebiologistsphere.com.

The platform is currently a free public beta. The publisher’s professional address and commercial information will be added before any paid service is offered.

• Account data: email address, first name, last name, account type, internal Clerk identifier and authentication events.
• Talent profile data: optional introduction, professional preferences, skills, education, experience, languages, availability, LinkedIn address and CV when provided.
• Employer data: professional email, organisation membership, organisation information, jobs and recruitment actions.
• Use data: saved jobs, applications, job views, selected search filters, language preference and country code supplied by the hosting infrastructure. IP addresses are not stored in the platform database for these statistics.
• Messages exchanged with the TBS team and recruiter connection requests.

Authentication is provided by Clerk. Passwords are transmitted directly to Clerk and are never visible to or stored by The Biologist’s Sphere. Strictly necessary session cookies keep accounts secure.

Talent profiles are private by default. If a talent chooses to appear in the Talent Pool, the preview shows only the first name and last initial together with professional information. The full surname, email address, telephone number, LinkedIn address and original CV are not public.

Talent Pool access is granted to a verified organisation for a defined period and can be used only by its approved employer accounts. When a talent accepts a connection, only the full name, email address and LinkedIn profile are revealed to that organisation. The CV is never shared through a Talent Pool connection. It is shared only through an internal application initiated by the talent.

An internal application stores an exact snapshot of the profile and CV submitted at that time. Later profile changes are not shown to that employer. The talent may withdraw the application, which immediately removes the employer’s access through TBS.

Data is accessible only to the authorised TBS administrator, the organisation concerned when a talent applies or accepts a connection, and technical providers needed to run the service. Clerk provides authentication. ChatGPT Sites and Cloudflare provide hosting, database and file storage. When transactional notifications are activated, Resend delivers the email without receiving a CV or full application content.

Once an organisation receives an application or accepted contact details, it is responsible for its own recruitment use, access controls and retention. TBS requires employers to use the information only for the relevant opportunity.

Some technical providers are established in or use infrastructure located in the United States. Transfers are governed by the safeguards and data-processing terms offered by Clerk, OpenAI and Cloudflare. TBS reviews these providers and will favour European storage restrictions when the platform moves to its own Cloudflare account.

• A Talent Pool profile is automatically hidden after 12 months without account activity. Talent profile data and the current CV are removed from TBS after 24 months without activity. A new profile can be created after signing in again.
• A closed, expired or archived job and its applications remain available in the relevant dashboards for 30 days, then the job content, applications and application-specific CV copies are deleted. Anonymous aggregate figures may be retained.
• Detailed job-search events are retained for no more than 30 days. Aggregate statistics may be kept without identifying a user.
• Pending, declined or revoked Talent Pool requests are removed after 30 days. Accepted connections are retained for no more than 12 months unless they are revoked earlier.
• Security records showing that a CV was previewed, downloaded or exported are kept for no more than 12 months and never contain the document itself.
• Transactional email delivery records contain no message body or CV and are kept for no more than 12 months.
• Messages sent to the TBS team are kept for the time needed to answer and follow up, then for no more than 12 months after the last useful exchange unless a legal obligation requires longer retention.

You can view and modify your profile, withdraw an application, revoke Talent Pool access, export your data and delete your account from your privacy centre.

You may also request access, correction, deletion, portability, restriction or objection by writing from the account email address to contact@thebiologistsphere.com. A response will normally be provided within one month after identity verification.

You may also lodge a complaint with your data-protection authority. In France, this is the CNIL.

The current beta uses only storage required for authentication, security, language choice and single-session job-view counting. It does not use advertising cookies. Details are available in the cookie notice.

The Biologist’s Sphere does not make recruitment decisions and does not use personal data to make a solely automated decision producing legal or similarly significant effects. Employers remain responsible for their recruitment decisions.

This policy may change as the beta develops. Material changes will be shown on this page and, when necessary, communicated to account holders.
